What Does Archive Mean in Email?

Archiving an email removes it from your main inbox without deleting it. The message is still kept in your mailbox, so you can normally find it again, search for it and move it back to your inbox later. Exactly where an archived message appears depends on the email service you use.

What happens when you archive an email?

When you archive an email, it disappears from the normal inbox view but the message itself is kept.

This can be useful for an email you no longer need sitting in your inbox but may want again later. For example, you might archive a booking confirmation after the booking is complete rather than delete it.

Archived messages can normally still be opened and found using search or the archive location provided by your email service.

Where do archived emails go?

Where an archived email appears depends on the email service.

In Gmail, archiving removes the message from the Inbox and leaves it available under All Mail. Gmail does not use a conventional Archive folder for Gmail messages. This is why finding archived emails in Gmail normally means looking in All Mail or searching for the message.

Outlook handles ordinary archiving differently. For Outlook.com and Microsoft 365 accounts, using Archive normally moves the message into an Archive folder. The message can still be searched for and opened from there.

This difference is why it is not always accurate to say that archived emails “go to the Archive folder”. The general meaning of Archive is that the email is kept but removed from the main inbox. Where it appears afterwards depends on the service.

Archive vs delete

Archive and Delete both remove an email from the normal inbox view, but they do different things.

Archive keeps the email. It remains stored in the mailbox and can normally be found again later.

Delete normally moves the email to Trash, Bin or Deleted Items, where it may later be permanently deleted according to the email provider’s rules.

An archived message therefore has not been deleted. If a message was actually deleted, recovering a deleted email is a different process.

Can you get an archived email back?

Yes. An archived email can normally be moved back to the inbox.

In Gmail, you can find the archived message in All Mail or through search and use Move to Inbox. In Outlook, you can open the Archive folder and move the message back to the inbox.

Archiving is therefore reversible. It does not permanently remove the message.

In Gmail, there is another useful detail: if somebody replies to an archived conversation, the conversation returns to the inbox automatically.

Do archived emails take up storage?

Yes. Archiving normally does not free up email storage because the message is still being kept.

This includes any attachments stored with the email. In Gmail, archiving keeps the message and its attachments in Gmail, so it does not free the storage they use. Outlook also states that using its normal Archive button does not reduce mailbox size.

Deleting email may eventually free storage once the message is permanently removed, but simply archiving it normally will not.

Why archive an email instead of deleting it?

Archiving is useful when you no longer need an email in your active inbox but do not want to lose it.

A receipt, confirmation, old conversation or other message you might need again can be archived instead of deleted. It keeps the inbox clearer while leaving the email available if you need to find it later.

The important difference is simple: Archive keeps the email. Delete moves it towards removal.
